Terms of Service

By creating an account or sending audio to Transcribe-It (the “Service”) you agree to these terms. If you don't agree, don't use the Service.

The Service

Transcribe-It accepts audio uploads (via the web app or WhatsApp), transcribes them using AssemblyAI, generates a summary and action points using a language model via Vercel AI Gateway, and delivers the result via email and the dashboard. We process the audio for transcription only and do not retain it after hand-off.

Accounts

• You are responsible for the activity on your account, including keeping your magic-link emails secure.
• You must be old enough in your jurisdiction to enter into a contract. If you're using the Service on behalf of an organisation, you confirm you're authorised to bind it.
• We can suspend or terminate accounts that violate these terms or that we reasonably believe are being used to harm others.

Billing

• Pay-as-you-go. Each transcription deducts from your prepaid balance based on the audio duration and a transparent per-second rate plus a fixed AI summary fee.
• New accounts receive a welcome credit on signup. The amount can change at any time; the live value is shown on the landing page before signup.
• Top-ups are processed by Paystack. Refunds for unused credit are available on request within 30 days — email support@transcribe-it.co.za.
• If transcription fails for reasons on our side, the hold on your balance is released automatically.

Your content

• You retain ownership of the audio you upload and the transcript / summary we return.
• You grant us a limited licence to process your audio for the sole purpose of producing the transcript, summary, and action points you requested. We don't use your content to train AI models, and our third-party processors are contracted not to either.
• You confirm you have the right to upload any audio you submit — including consent from anyone whose voice appears in the recording when required by law.

Acceptable use

You agree not to use the Service to:

• Transcribe audio you don't have the right to process (recording calls without consent where required, copyrighted content you don't own, etc.).
• Harass, defame, or threaten others.
• Probe, scan, or otherwise circumvent the security of the Service.
• Resell raw transcription capacity (i.e. repackage Transcribe-It as your own transcription API).

WhatsApp endpoint

When you link a phone number to your account, voice notes you send from that number to our WhatsApp Business account are processed against your account's prepaid balance, exactly as if you uploaded them via the web app. You can unlink the number at any time from Settings. We do not initiate outbound WhatsApp marketing — we only reply to messages you send us.

Warranty & liability

The Service is provided “as is”. Transcription accuracy depends on audio quality, accent, terminology, and other factors; we don't guarantee a specific level of accuracy. To the maximum extent permitted by law, our total liability for any claim arising from the Service is limited to the amount you paid us in the 12 months preceding the claim.

Changes to the Service or these terms

We may change the Service or these terms. Material changes will be announced by email and on the landing page at least 14 days before taking effect for existing users; continued use after that date constitutes acceptance. You can always close your account if you disagree.

Governing law

These terms are governed by the laws of the Republic of South Africa. Disputes will be resolved in the courts of South Africa.
